Catalog or Folder-Based Photo Editing: Which Workflow Fits Your Archive?

The choice between a catalog-centered editor and a folder-centered workflow is really a choice about how you find and revisit photographs. Start with the last three occasions when you needed an older image. What information helped you locate it?

Test retrieval before editing

If you often search by subject, rating, client or date, build those tasks into the trial. Import a small representative collection and try to find the same photograph in several ways. Check how the software handles files stored on a disconnected drive and what it displays when originals are unavailable.

If your work moves between computers or collaborators, test that handover too. Identify which files carry the edits and organization. Do not assume that moving the original photographs also moves every adjustment, collection or application-specific record.

Plan the exit as well as the entry

Choose a finished project and work out how to preserve its originals, useful metadata and delivered versions. Document any information that depends on the application. A clear export and backup process makes future changes less stressful.

Neither approach excuses an inconsistent folder structure. Give projects understandable names and keep the working archive separate from delivery copies. Select the software arrangement that makes ordinary retrieval easy, then maintain it consistently. The most sophisticated catalog is less valuable than a modest system you can still navigate after several months away from a project.
